Setting up your first clinic and patient intake forms

Welcome to HealNote. Setting up your clinical workspace is the first step toward streamlining patient intake and leveraging our MedGemma diagnostic AI. The platform is designed to feel as familiar as writing on a physical notepad, but with the power of a high-security vault.

Workspace Initialization

When you first log in, your workspace will be completely empty. This is intentional. We believe in a minimalist approach where you only see what you actively need. To begin, you must define your clinic's basic configuration, which includes your operating timezone, specialty, and primary jurisdiction for compliance routing.

HealNote automatically detects your jurisdiction based on your legal business entity, routing all PHI (Protected Health Information) strictly to servers completely isolated within your regulatory borders.

Frequently Asked Setup Questions

Navigate to your Admin Settings panel and select the 'Staff & Permissions' tab. From there, you can issue clinical invite links. Note that invited doctors must independently verify their medical license before they can view patient records or interact with the diagnostic AI.
Yes. Under the Workflows section, you can use our dynamic form builder. You can drag-and-drop elements for past medical history, family history, and specific symptom checklists tailored to your specialty (e.g., Cardiology vs. Dermatology).
During your 7-day initialization period, you may upload up to 500 patient legacy records to train your clinic's local temporal understanding module. For enterprise volume ingestion, please contact your dedicated HealNote technical account manager.
HealNote natively caches your daily scheduled patient rosters using AES-256 local browser encryption. You will still be able to read existing notes and draft new ones. However, the MedGemma AI diagnostic module requires an active connection to process new reasoning tasks.
